Passports and visas

Guadeloupe is a French territory, as such, citizens from France, the EU and Switzerland will be asked to show a valid passport (no visa is required), an official identity card or a French "carte de séjour".

For nationals of countries that are not members of the European Union, a valid passport is required (as well as a visa for certain countries). Americans and Canadians do not need a visa. For visa application procedures, please refer to the French Embassy or Consulates in your country. For more information, please consult the official visa website for France.

WARNING

If you are a national of a country that does not benefit from a visa waiver program for short stays (Dominican Republic, Cuba, Haiti, Guyana, Suriname, Belize, among others) OR if you have already stayed more than 120 days the Schengen zone in the past year; please confirm your registration and apply for a letter of invitation (for your visa procedure) before September 27th 2019. Beyond this date no guarantee can be given to you on the processing of your visa application.

Local transfers

Meeting points and schedules for the various transfers and departures will be posted at your hotel reception desk and on site at the CWTC.

They will be organised only between the different International Sargasso Conference locations as per the final programme, and on arrival / departure, according to the following schedule:

Only be provided for participants who provided full information about their flights or sea transport (arrival/departure) when they registered (dates, times, airline and flight or boat number).

arrival transfers at Pôle Caraïbes Airport / Bergevin Maritime Terminal:

  • tuesday 22nd and wednesday 23rd october: only from the airport/port -> to the hotels booked by the organisation (La Creole Beach Hotel & Arawak Hotel);

  • thursday 24th and friday 25th october: only from the airport/port -> to the CWTC (International Conference on Sargassum location, with no stop-off at the hotels).

departure transfers to the Pôle Caraïbes Airport / Bergevin  Ferry Terminal:

  • Friday 25th and Saturday 26th october: between 17h00 and 22h00: only from the CWTC (International Conference on Sargassum location, with no stop-off at the hotels) -> to the airport/port;

  • sunday 27th october: only from the hotels booked by the organisation (La Creole Beach Hotel & Arawak Hotel) -> to the airport/port.

Accomodation

Each participant is responsible for his/her accommodation on site in Guadeloupe.

For the International Conference on Sargassum, the organisation has pre-booked:
a number of rooms in 2 hotels: La Creole Beach and Arawak in Le Gosier (a 10-minute walk between the 2 hotels),
for the nights Tuesday 22 to Sunday 27 October 2019 (please contact us if you wish to extend your stay beyond these dates).

Room bookings, at negotiated rates, will be guaranteed until October 10th 2019, depending on availability.
Beyond this date, booking requests will be subject to hotel availability.

Hotels

La créole Beach & Spa

 

Proposed accommodation rates per night and per room:
superior category room 160,00€ incl. VAT.

They include accommodation, breakfast, tourist tax and booking fees.


They do not include:

  • meals (lunches and dinners);

  • extras (bar, etc.) to be paid on site before departure.

You should therefore settle these expenses directly at hotel reception on the day of your departure when you check out of your room.

Arawak

Proposed accommodation rates per night and per room:
standard category room 146,00€ incl. VAT.

Booking and payment conditions

  1. Booking
    Participants who wish to take advantage of the negotiated accommodation rates may book directly via the online registration module when you register.As the number of pre-booked rooms is very limited, they may be booked only according to availability at the hotel (the first to register will have priority).
     

  2. Payment
    Each participant should pay CARIB CONGRÈS exclusively for the selected stay on receipt of the invoice.

 

In all cases, the booking will not be finally confirmed until payment has been made.
Any booking not settled within 10 working days (or not guaranteed with the secretariat) will be automatically cancelled.

 

In accordance with the following conditions, any room not cancelled within the deadline or not occupied without cancellation will be charged to the participant at full rate and for the duration of the stay booked.

Modification and cancellation conditions


All modification or cancellation requests should be sent by email as soon as possible to the following address: sargassum2019@cr-guadeloupe.fr.

Modification fees:

  • less than 10 days before the arrival date (in):10% of the total cost of the booked stay;

  • between 9 and 5 days before the arrival date (in): 50% of the total cost of the stay booked;

  • between 4 and 3 days before the arrival date (in): 85% of the total cost of the stay booked;

  • between 2 days and the arrival date (in) or in the event of a no show: the entire stay booked.

Cancellation fees:

  • less than 15 days before the arrival date (in): 30% of the total cost of the booked stay;

  • between 14 and 10 days before the arrival date (in): 50% of the total cost of the stay booked;

  • between 9 and 5 days before the arrival date (in): 75% of the total cost of the stay booked;

  • between 4 and 3 days before the arrival date (in): 85% of the total cost of the stay booked;

  • between 2 days and the date of arrival (in) or in the event of a non-arrival: the entire stay booked.

General information on accommodation

 

  • the rooms will not be ready until 14:00 on the arrival day, and must be vacated by 11:00 at the latest on the departure day;

  • if you would like a late departure, please make the request at your hotel reception on the day of departure;

  • for late arrivals, the organisation will check the bookings with the hotels and inform them of arrival times.

Meals

On-site meals will be organised  only during and in accordance with the International Conference on Sargassum final programme. Outside this period, you must cover the cost of your meals.
